Studio Coordinator - Part Time at Chenko Studios Role Overview The Studio Coordinator helps keep Chenko Studios organized, welcoming, and running smoothly. This role supports both the sewing school and product development teams by maintaining project systems, organizing the studio, coordinating day-to-day operations, and ensuring important tasks and follow-ups do not fall through the cracks. We're looking for someone who genuinely enjoys creating order, improving processes, and building systems that help a team work more efficiently. This role is ideal for someone who gets excited about organization, problem-solving, and making things run better every day. Key Responsibilities: Studio Operations Prepare classrooms, fitting areas, and shared workspaces. Monitor studio supplies and coordinate deliveries, repairs, and facilities needs. Support the overall organization and daily operation of the studio. Product Development Support Set up project folders, trackers, and task lists. Update project statuses, deadlines, and outstanding follow-ups. Organize incoming samples, fabrics, trims, and reference garments. Coordinate couriers, shipping, pickups, and meetings. Flag risks, delays, or missing information to the appropriate team member. Client & School Support Support class registration, attendance, and student communication. Respond to routine client and student inquiries. Send confirmations, reminders, and project updates. Maintain organized records of project files and communications. Administration & Systems Support client onboarding and internal documentation. Prepare draft estimates, invoices, meeting notes, and documents. Track outstanding approvals, payments, and deliverables. Help improve, document, and maintain studio systems and processes. Decision Authority The Studio Coordinator may independently manage routine communications, project tracking, courier bookings, approved supply purchases, and administrative follow-ups. The role will escalate technical decisions, pricing or scope changes, major client concerns, and issues affecting quality or project timelines. Qualifications Highly organized with excellent attention to detail. Strong communication and follow-through. Enjoys building systems, improving workflows, and solving organizational problems. Comfortable managing multiple priorities in a fast-paced environment. Proficient with calendars, spreadsheets, cloud storage, and project management software. Experience in administration, coordination, hospitality, education, or a creative studio is an asset. Familiarity with sewing or apparel product development is helpful but not required. Position: Part-Time Studio Coordinator Reports to: Founder Location: Chenko Studios, Vancouver, BC Hours: 10-16 hours per week, typically spread over 2–3 days Compensation: $19–24/hour
