Veterinary Care Staff Incumbent: Department: Client Care Reports to: Supervisor, Practice Manager Date: *We are currently looking to fill a part-time position. This position would require 2-3 shifts (approx. 6-12 hours/week), a combination of two evening weekday shifts and a rotating Saturday shift. Evening shifts are usually from 3:30 pm-7:00 pm and Saturday shifts are from 8:30 am-12:00 pm. Salary range is $16.90-$19/ hr based on experience. Position The Veterinary Receptionist is typically the first point of contact with clients either by phone, computer or in person and coordinates communication between veterinarians, staff and the clients. The receptionist answers telephones, greets clients, receives and relays client correspondence, and updates client records. Provides product information as required, maintains inventory and overall cleanliness of reception area. May work on special projects as required. Shifts include days, evenings and some weekends. Duties and Responsibilities * Receive and direct incoming calls * Greets clients and their pets upon arrival * Directs and accompanies clients to meeting rooms in preparation for Vet * Assists clients with any questions and provides applicable information as required * Follow-up with client "no shows" and appointment times, medication status/instructions and pick up * Prepare initial patient file and notes * Reissues rabies tags * Using Vet Practice Management System "Cornerstone" enters and updates client information, maintains and maximizes the VET schedule to ensure it is full * Admits patients and schedules appointments including for surgery, boarding reservations, animal checkup, bloodwork and tech/Vet procedures * File preparation, maintenance, computer back-up and starting server as required * Process debit/credit card corrections at closing * Update and maintenance of clinic reports including recall reports * Distribute puppy packs/kitten bags to clients and other materials as required * Present and describe pet insurance product * Processes invoices, completes customer payment transaction and balance cash * May open or close the clinic following established procedures * Dispenses diets and other over the counter products and processes returns * Clean and sanitize hospital rooms between appointments * Records cremation activity and client "special" food orders * Maintains cleanliness of the reception area and cleans up after pets as required * Ensures front entrance and walk-way are clear of snow during the winter * Other special administrative projects or duties as required * Will require some weekend and evening shifts on a regular basis. Qualifications and Job Requirements * High School Diploma is preferred * Excellent telephone and computer skills * Proven customer service and communication skills * Ability to multi-task in a fast paced setting * Flexible and a proven ability to show initiative * Solid team player * Outgoing and enthusiastic, with excellent interpersonal skills * Ability to work both independently and as part of a team * Experience working in a customer service oriented work environment is desired * Experience in an animal care setting is an asset * Strong attention to detail and enthusiastically completes all tasks including routine activities * Demonstrates effective judgement in difficult situations.
