Property Administrator - Part Time Position ---------------------------------------- Location: Stratford, Ontario (Onsite) OVERVIEW The Property Administrator plays a hands-on role in the day-to-day operations of The Hawthorne, Stratford’s newest multi-building midrise rental community. Reporting to the Regional Property Manager of Muirstone Living, you’ll work closely with the on-site team to keep the building running smoothly and residents happy. This is a part-time role (25–30 hrs/week) with a clear path to full-time as the portfolio grows, an ideal opportunity to get in on the ground floor of a new property management division and help shape how it operates. THE DAY TO DAY * Coordinate maintenance and repairs by scheduling vendors, issuing work orders, and following up to ensure timely, quality completion. You will be the one keeping things from falling through the cracks. * Conduct regular property inspections of suites, common areas, and building systems to proactively identify maintenance needs, document findings, and action deficiencies before they become bigger issues. * Manage unit turnovers end-to-end such as vacant suite inspections, coordinating cleaning and repairs, preparing units for incoming residents, completing walkthroughs, and handling key handovers. * Be the go-to person for residents: fielding inquiries, resolving day-to-day concerns, and following through until issues are closed, always with a warm and professional approach * Support the leasing process as needed, including assisting with showings, following up on applications, and ensuring new residents have a smooth and welcoming move-in experience. * Prepare and process lease documents, notices, and correspondence; keep resident files and property records accurate and up to date; flag rent arrears and outstanding accounts to the Regional Property Manager * Support compliance with provincial and federal regulations, help uphold property policies, and contribute to building out standard operating procedures as the division grows * Assist with vendor quotes, budget-related tasks, special projects, and additional duties as the role and portfolio evolve WHAT WE ARE LOOKING FOR * You take pride in the details, enjoy working with people, and thrive in a dynamic environment. * You’re eager to learn, dependable, and ready to roll up your sleeves. * 1+ years in property management, real estate, hospitality, or a related administrative or customer service role * Strong communicator with a warm, professional approach to residents and vendors; highly organized with the ability to juggle multiple priorities * Comfortable in a fast-paced environment where priorities shift, flexible, calm under pressure, and exercising good judgment * Familiarity with property management software (Yardi or similar is an asset); working knowledge of the Residential Tenancies Act is a plus. * Reliable and discreet when handling sensitive information; valid driver’s license and vehicle access is an asset * Available on occasional evenings, weekends, and urgent matters outside regular hours * Must be able to work in a self-managed team.
