*Job Summary* Yonge North York Business Improvement Area (BIA) serves 1,600 member businesses and commercial property owners in the area along Yonge between the 401 and Finch Station. Our priority is to serve our collective membership through advocacy, public realm, marketing and economic development. *Reports to: *Executive Director *Responsibilities* * Scheduling meetings with various stakeholders, and calendar management. * Preparing meeting logistics for in-person or virtual business meetings including Board Meetings, the BIA's Annual General Meeting, and others. * Preparing agendas for review, taking attendance and minutes, and drafting meeting materials using existing templates. * Acting as a first point of contact for the organization?s central email and phone line including answering general inquiries or forwarding the inquiries. * Complete filing of documents electronically in an organized manner and update the BIA's database spreadsheets for suppliers, inventory, media, etc. * Assist with expense tracking and basic financial record management. * Complete basic website calendar and content updates. * Drafting business correspondence, emails, forms, newsletters, notices, etc. * *Assist with onboarding of new team members, and booking volunteers.* * Keep the BIA's office organized, and greet guests. * Act as an ambassador for the BIA at festivals and events including assisting with logistics for the BIA's tent. * Supporting the Executive Director as needed with other tasks or errands *Who You Are* Our ideal candidate is creative, proactive, and highly organized, with a passion for our district and our vision. You are comfortable jumping in, improving processes, managing logistics, and finding solutions. You are detail-oriented without losing sight of the big picture, tactful with confidential information, and ask questions or seek support when needed. You embrace variety and bring a positive attitude. If so, we would love to hear from you! *Core Competencies* * Prior administrative, customer service, and/or writing/communications experience in a fast-paced environment * Excellent verbal and written English communication skills * Excellent attention to detail, organization and efficiency * Excellent interpersonal skills, tact, and confidentiality * Able to work with minimal supervision or in a team * Technologically adept and able to learn new software (i.e. DocuSign, Mailchimp) * Very good Google Docs, Drive, Sheets & Calendar; Word/Excel, and Zoom skills * Very good Canva skills and able to use brand templates * Able to attend meetings or events including some evenings and/or weekends * Driver's license in good standing. * Access to vehicle for occasional event day logistics or errands preferred (travel mileage reimbursement available). *Bonus Skills (Not Required): * Excellent verbal and written Mandarin, Korean, Cantonese OR Farsi *Wage:* $24-26/hour (semi-monthly pay periods). *Part-Time: *Approximately 20 hours per week *Contract Length: *1 Year. Ability to traverse as a pedestrian and via TTC (fare provided) within our district for project or communications work. Working home office wifi required in case of periodic remote work.
